How to Create and Send WhatsApp Template Messages

Now that you’ve set up your workflows, it’s time to create and send WhatsApp messages to your customers. Here's a step-by-step guide on how to do this within OrderEazi.

Key Steps:

  1. Navigate to the Project/Order

    • Create or Open the specific Project or Order in OrderEazi where you want to send WhatsApp template messages.

  2. Go to the Messaging Tab

    • Once inside the project, navigate to the Messaging tab (as shown in the image).

    • Here, you’ll be able to create WhatsApp message templates, preview them, and configure them for the selected workflow step.

  3. Create a WhatsApp Template Message (Manually or Automatically)

    • Manual Message: You can create a WhatsApp message template manually within the Messaging tab and send it out directly to the customer on the project/order.

    • Automated Message: If you've set up workflow steps, you can configure the message to be sent automatically when a workflow step is completed.

  4. Assign the Message to a Workflow Step

    • For automated messaging, assign the WhatsApp template to a specific workflow step within the Workflow Manager. Once set, every new project that follows this workflow will automatically send the WhatsApp message when the designated step is completed, ensuring seamless communication with the customer without any manual intervention.

  5. Preview the Message

    • The Messaging tab includes a preview pane that shows how the message will appear, including dynamic content like customer details or payment information. This lets you review and confirm the message before sending it.

  6. Trigger and Send the Message

    • Manual Send: Click the Send Message button to send a manually created WhatsApp message to the customer.

    • Automatic Send: For automated messages, simply complete the relevant workflow step, and the message will be sent to the customer automatically.


Previewing the Message:

The screenshot shows the Messaging Management section, where dynamic content (e.g., order details) can be mapped and previewed. The placeholders such as {{1}} or {{2}} will be replaced by actual data like account number or due date when the message is sent. This ensures the message is accurate and personalized before sending.


Automating Message Sending:

When you complete a workflow step configured with a WhatsApp message template, the message will automatically be sent to the customer. However, you can also send messages manually from the Messaging tab, providing you with flexibility in managing customer communication.
